Tasks Portlet

The Tasks portlet displays tasks A single unit of work done by one person. and task lists A list of individual tasks required to complete a project , one phase of a project, or a to-do list. Task lists have date properties that are calculated based on the dates of the tasks it contains. from projects you selected in the Project Explorer (your selection is listed in the My Projects portlet) or projects that the community manager selected for the community.

To apply actions to a specific task or task list, such as claiming a task, select the task first. If you do not select a task or task list, most of the buttons in the action bar remain grayed out. To unselect a task or task list, clear the check box to its left.

Viewing Tasks

You can select the task lists and tasks to display by using the filters on the right side of the action bar.

Filter
Description

Select whether you want the portlet to display tasks or task lists.  

Select whether you want the portlet to display only tasks or task lists of a particular project or all tasks and task lists in all projects (that are listed in your My Projects portlet or the Community Projects portlet).    

View | All Items

My Tasks portlet only. Display all tasks or task lists in the project.

View | QuickLinks

Display only tasks or task lists that were bookmarked to My QuickLinks A bookmark that you can create to a Collaboration object. Collaboration places this link in the object's associated My Tasks, My Documents or My Discussions portlet.

To view only the objects that are accessible by My QuickLinks, click View | QuickLinks in the My Tasks, My Documents or My Discussions portlets.
or Community QuickLinks A bookmark that a Community Manager can create to a Collaboration object. Collaboration places this link in the object's associated Community Tasks, Community Documents or Community Discussions portlet. Community Managers can specify that the community portlets only display objects that are accessible by Community QuickLinks.

To do this, click View | QuickLinks in the Community Tasks, Community Documents or Community Discussions portlets.

Note: Only Community Managers can change the QuickLinks view in the community portlets.

View | Number of Items

Limit the number of tasks or task lists displayed.

View | Action Bar Layout

View the action bar on one or two lines. The portlet splits the buttons into two action bars or converges the buttons into a single action bar.

Note: Only Community Managers can change the action bar layout in community portlets.

View | Status

Select whether you want the portlet to display only tasks or task lists that fit a status criterion, or all tasks or task lists regardless of status.

View | Assigned To

Tasks view in My Tasks portlet only. Select whether you want the portlet to display all tasks (regardless of assignment), only tasks that have been assigned to you, or only tasks that have not been assigned.

View | Customize

Not available to Guest Users in My Portlets. Available only to Community Managers in Community Portlets. Configure display preferences for the columns and action bar buttons in the portlet, using the Customize View Editor.

Tasks Table

You can view the status of task lists or tasks.

Tip: You can change the sorting order of a column by clicking the name of the column.

Column
Description

Tasks / Task Lists

Name of the task or task list. Clicking it launches the application view and displays the contents of the task list.

Tasks that are not completed (not 100%) on the due date are listed in red.

Project

Name of the project to which the task or task list belongs.

Assigned To

Tasks view only. Owner of the task. You must have Write access to claim the task. Since a task can have multiple owners, many can share responsibility for a task.

To see the user profile of the owner of the task, click the owner name. If the instant messaging feature is enabled, you can click the online presence indicators to engage in online chat with the owner of the task.

Status

The status of the task or task list.  

  • The risk indicators:(green) no risk, (yellow) moderate risk, and (red) high risk.
  • The completion percentage is between 0% and 100%.

Users assigned to a task can change its completion percentage and risk indicator in the Task Properties Editor.

When a task is first created, its status is 0% complete and (no risk). When work on a task is underway, its completion status should be changed to reflect the amount of work completed and, if applicable, the risk indicator should be changed to reflect risk level. When the work is done, its status should be changed to 100%; the risk indicator is automatically set to (no risk).

Task lists view only. The task list risk indicator displays the status of the task with the highest risk. Even if all tasks except one are not at risk, the task list indicator will show the status of the entire task list as at risk. The completion percentage shows the portion of the task list that is complete.

Start Date

Task lists view only. The start date of the earliest task in the task list.   

End Date

  • Tasks view. The date the task should be completed.
  • Task Lists view. The end date of the last task in the task list.

Action Bar  

If you have a limited permission level, you cannot see all the buttons in the action bar. In addition, only buttons that apply to the object you have selected are enabled; until you have selected a task or task list, many buttons are grayed out and disabled.

Claim Tasks

Assign the task to yourself. For step-by-step instructions on how to claim tasks, see Claiming Tasks.

My Tasks portlet. Remove the task or task list from your QuickLinks.

My Communities portlet. Remove the task or task list from your QuickLinks.

Refresh the portlet.

Launch the Project Explorer.

 

My Projects only. Launch your personal project, which is a private project for your own use. If you do not see this button, your system administrator has not enabled the personal projects feature.
