Event Editor

The Properties tab allows you to schedule or edit an event An occurrence that is important to project users and that can impact completion of project work., such as a project meeting, in your Calendar. The Security tab allows you to specify who can access the event.

Events can occur once, or they can occur in intervals of days, weeks, or months.  Events can be comprised of Exchange or Lotus Notes events, which are events that are imported from Exchange or Lotus Notes.  

After you have created, edited, and configured security for the event by using this dialog box, click Finish. The event appears in the calendar.

To further edit the event and attach task lists, documents or discussions to the event, click on the event in the calendar to launch the Event Details dialog box.

Note: Administrators create holidays by using the Holidays page of Collaboration Administration Utility.

Properties Tab

Setting
Description

Project

Appears only when creating a new event from the Calendar portlet. Choose the project for which you are creating the event.

Name

Type no more than 100 characters to name the event.

Description

Optional. Type no more than 1,000 characters to describe the event. The description appears in the floating text that is displayed when the mouse hovers over the event in the Calendar. The description is also included in the Event Details page that appears when the event is clicked.  

Start Date

If you want to change the start date, either type the date in the m/d/yyyy format or use the date chooser  to select the date.  

End Date

  • If the event is a one-day affair, leave the end date the same as the start date.

  • If the event continues over a span of time (for example, a three-day conference), you can either type the end date in m/d/yyyy format or use the date chooser  to select the date.   

Occurs

If you want the event to occur once or multiple times, select the desired interval from the drop-down list:

  • Once: Occurs once. By default, the end date is the same as the start date.

  • Daily: Occurs every day. Select Include weekends and holidays if desired. Weekends comprise Saturdays and Sundays. The administrator defines holidays by using the Holidays page of Collaboration Administration Utility.

  • Weekly: Occurs every week. Type a number between 1 and 99 in the text box to specify how many weeks between each occurrence of the event (the default is 1). For example, type 2 to create a biweekly event.

  • Monthly: Occurs every month. Choose from:

    • Day X of every Ymonth(s): In the first text box, type a number between 1 and 31 to specify the day of the month. If you type 31 and the month has less than 31 days, the event occurs on the last day of the month. In the second text box, type a number between 1 and 99 to specify the number of months between each occurrence of the event (the default is 1). For example: Day 3 of every 2 months.

    • The X Y of every Zmonth(s): In the first drop-down list, select the number of the week in the month, or the last week in the month. In the second drop-down list, select the day of the week. In the text box, type a number between 1 and 99 to specify how many months between each occurrence of the event (the default is 1). For example: The Second Tuesday of every 3 month(s).

The event continues to occur unless you select End by or you delete the event from the calendar.

End by

Optional. If you want the recurrence to end, select End by and either type the end date in m/d/yyyy format or use the date chooser  to select the date.  By default, this check box is disabled.

Location

Optional. Type the location where the event will occur.

Security Tab

Click the Security tab to configure who can access this event.
