Document Versions

You can track the history of the documents uploaded to Collaboration and stored in the Document Repository Service. Collaboration saves the revisions of a document you checked in and keeps a document history. You can view any version of the document that is stored.

Note: The Administrator can limit the number of document versions that Collaboration stores. For details, see Miscellaneous Settings.

Each time a document is checked in, this latest version becomes the working version; however, users can roll back to a previous version. Documents can be any type of document, including spreadsheets, presentations, PDF, text, and images. If a document contains text, its latest working version is indexed for searching.

If your document exists within a moderated folder and you have created a new version, that version of the document is not widely available until it has been approved.

Description

Version

Version number of the document. Click the version number to view the document.  However the mouse over the version numbers to view the published version.

Date Checked In

Date and time the version was uploaded or checked in.

Size

Size of the document.

User

User who uploaded the document to Collaboration.

Comment

Identifies the original uploaded document and shows user comments, which were entered when checking in new versions.

Actions

If more than one version of the document exists and you have the appropriate permissions, you can do the following:

Revert the current working version to this version. Usually, the latest revision of a document is the working version that users can view in the Documents portlet or the table pane of the Documents application view, but you can designate a previous version of a document as the working version. 

You must have Edit access privilege to delete documents.

Permanently delete a document version. First select the version you want to delete, then click . If you want to delete the working version of a document, you must delete it from the Documents portlet or the table pane Upper right section of the application view. The table pane displays all objects contained in the node you selected in the navigation tree. You can also view detailed information about the objects in the table pane by selecting the check box next to the item. Detailed information appears on the details pane. of the Documents application view.  

You must have Admin access privilege to delete documents.
