About Documents

Collaboration stores documents uploaded to its projects. Documents can be any kind of file, including spreadsheets, presentations, images, and PDF files. If a file contains text, its working version is indexed for searching.

Viewing Documents and Files

In the application view, you can view file contents, see additional information about the file in the details pane, and perform various actions related to the file. Version Control

Collaboration saves all revisions of a document. Each time a document is checked in, the latest version becomes the working version; but users can roll back to an earlier version. You can subscribe to a file or document folder to receive automatic e-mail notification when a new file is uploaded or updated.

Approving and Rejecting Documents

If you upload a document to a moderated folder, the document is not widely available in the project until a moderator or user with Admin access to the folder has approved your document. Additionally, if your document exists within a moderated folder and you have made changes to the document (created a new version), that version of the document is not widely available until it has been approved.

Document Templates

You can choose one of the project's Microsoft Word, Excel or PowerPoint documents to make it available for use as a document template for the project. When a user chooses a template, Collaboration creates an exact copy of the document. You can identify that a file is a template when the icon for the file has a yellow dot in the lower left hand corner.

Attaching Discussions and Task Lists

You can attach task lists A list of individual tasks required to complete a project , one phase of a project, or a to-do list. Task lists have date properties that are calculated based on the dates of the tasks it contains. and discussions A virtual forum that permits you and other project users to participate in online conversations. Discussions are associated with projects. to a document Project documents or files are uploaded to  Collaboration and held in a repository. Collaboration provides the facilities to check out files, check in revised files, and submit project files to the portal.  Collaboration tracks all activities about a file in its file revision history.. The task list is useful for specifying who will participate in the revision and editing of that document. The discussion is useful for collaborating on the document.

Initiating a Process Using Documents

Available when Collaboration is integrated with BEA AquaLogic Interaction Process 1.7. You can initiate a process using a document that you select in the Documents application view page.
