Publish to Knowledge Directory

You can publish a document or file, thereby creating a link to it in the portal Knowledge Directory. The published file must be approved by the portal administrator before it becomes accessible to portal users. If you already have Admin permission to the destination folder in the Knowledge Directory, the published file is automatically approved.

Before you can publish a file to the Knowledge Directory, the administrator must configure a content source for this purpose. For more information, see Publish to Directory.

Once a document is published to the Knowledge Directory, access to the published version from the KD inherits the access settings of the parent KD folder. For example, if the Everyone group has Read access to the Knowledge Directory folder, the version of the Collaboration document published will be accessible from the KD by all users, including Guest Users.

You should have a good understanding of the portal Knowledge Directory before performing this operation. Contact your portal administrator for information.

Publishing a File for the First Time

After you are done selecting the publication folder and configuring the following settings, click Finish to publish the file.

To select the publication folder in the Knowledge Directory, click Browse. You must have at least Edit access privilege to see a Knowledge Directory folder.

Override Defaults

 

Keep the check box clear if you want Collaboration to set the document or file name and summary automatically. The file name and summary are updated automatically when they are changed in Collaboration. Collaboration updates this information in the Knowledge Directory the next time the file is indexed.  

If you want to specify the file name displayed in the portal Knowledge Directory, select this option. Define the following:

  • Document Name. Type the title of the file as you want it to appear on the portal.

  • Document Summary. Type no more than 250 characters to summarize the contents of the file. This information appears in the portal, so including useful keywords in the summary will make your document easier to find in portal searches.

Updating a Published File

You can republish an updated version of the file to its current location or add it to other directories in the Knowledge Directory.

To publish the file to additional folders in the Knowledge Directory, click Browse and select new destination folders. You must have at least Edit permission to see a Knowledge Directory folder.
